A site inspection report should help someone who was not present understand the issue and decide what happens next. A long image gallery without locations or context rarely achieves that.

Identify each finding

Give every item a clear location, short description and photograph. Note whether it is an observation, a maintenance task or something that needs specialist investigation.

Make priorities understandable

Explain why an item matters and distinguish urgent operational concerns from planned maintenance. Avoid promising a diagnosis where opening-up or testing is still required.

Close the loop

Record the recommended next action, any access requirement and the evidence needed at completion. Consistent reporting helps facilities teams compare sites and plan work across a wider property portfolio.
